File Management Co-Ordinator

We are recruiting for a File Management Co-Ordinator for a well established firm in London.

Successful candidate will also be the point of contact for all other elements of the broader Information Services Team, including some general library administrative support. You should be highly organised with strong customer service skills.

Duties will include, but not be limited to,
• Provide day to day library administrative support
• Forward research enquiries to the central Info Desk
• File Tracker system – local support
• Send files to, and retrieve files from storage
• Support and promote filing best practice and file / records management policies and procedures – both electronic and paper based
• File searches, general file management queries (escalating to Records Service Coordinator as necessary)
• Assist with searching library catalogue
• General library housekeeping including shelving, shelf checking / tidying etc.
• Loose leaf filing
• Liaise with suppliers as required (eg. file collections and deliveries)
• Wills, deeds, securities, and other enduring documents
• Undertake file management audits and checks as directed

Candidate Requirements
• Educated to GCSE level with a minimum of 5 subjects at grade C and above including English and Mathematics (or equivalent) Additional qualifications advantageous
• Be able to work autonomously as well as collaboratively within teams
• Work in a structured, organised manner within identified procedures
• Accurate and consistent with attention to detail
• Administrative background, preferably in a professional office environment
• Experience and understanding of both electronic (eg document management) and paper / physical filing systems
• Excellent telephone / verbal and written communication skills
• Good interpersonal skills
• Responsive, proactive and innovative in offering support and solutions
• Methodical, analytical and pragmatic with strong problem solving capability
• Able to prioritise workload and manage deadlines within agreed service levels
• Able to motivate and mentor others
• Records and archiving experience advantageous
• Good IT skills (MS Office)
