Personal Assistant
ACS are now recruiting a Personal Assistant to work in a law firm based in Liverpool
Key Duties
- Producing replies to requisitions on tile using standard replies
- Completing CPSE replies using standard replies
- Drafting completion statements
- Completing the Land registry info and SDLT info before it goes to the team in Liverpool
- Collating and then sending letters with enclosures
- Managing the archive and storage process for the department
- Assisting with collating tender, pitch, bid documentation where required
- Booking and arranging travel arrangements
- Acting as a point of contact for clients and internal and external contacts
- Diary management and inbox management
- Ad hoc transcription of dictation and documents where it is unsuitable for the transcription/document shared service (this should be limited in volume and frequency)
- Matter management to include, file opening, risk management and file structure
- Assist with financial housekeeping on client matters to include billing, WIP management, disbursements and debts
- Ordering required property searches (local, enviro etc.) and chasing down the progress
- Billing
- Providing prompts and reminders for fee earner important tasks and deadlines
- Assist with quasi fee earning tasks (where required)
- Assisting with minutes, agendas, actions of departmental meetings where required for both internal and external meetings
- Research and information gathering on an ad hoc basis
- Managing databases/spreadsheets and filing systems
- Assisting with the preparation of reports and correspondence
- Implementing and maintaining administrative systems and procedures
- Assisting with special projects
- Working with the DMA and fee earners to support the departmental and fee earner business development activity
Essential
- Excellent communication
- Ability to multitask
- excellent up to date and relevant IT skills, in particular MS Word and Excel.
