Executive Assistant

ACS are recruiting for an Executive Assistant to provision of administrative and secretarial support to the Chief Executive Officer of a legal firm on Merseyside.

Principal Responsibilities:

  • Proactively research and provide the best available options for travel requirements for the CEO and Directors, ensuring appropriate travel arrangements/confirmations added to diaries
  • Complete monthly/ad hoc expenses including monthly reconciliations of corporate credit cards for Managers and Directors
  • Record, transcribe and distribute notes/minutes for meetings including Operational Board, Risk Committee and Customer Committee and provide requisite assistance during presentations. Deal with regulatory minutes of statutory meetings of Shareholders and Directors
  • Act as first point of contact for CEO with both internal and external people, screening telephone calls, enquiries and requests, and responding to them when appropriate/distribute incoming communications
  • Provide extensive diary management for CEO and Directors
  • Schedule meetings, book meeting rooms, source refreshments and equipment and collate agendas, ensuring all attendees have relevant briefs ahead of meetings
  • Produce timely and accurate documents, briefing papers, reports and presentations including collation of all Board packs and distribution by deadlines
  • Assist with Company Secretarial matters as required
  • Devise and maintain effective office systems including data management and filing
  • Meet and greet visitors at all levels of seniority

 Knowledge, Experience and Skills required:

  • At least 5 years experience providing executive support for Senior Managers/Directors
  • Can work independently as well as part of a team with the ability to work under pressure
  • Excellent planning and organisational skills
  • Advanced knowledge of MS office including Word, Excel, PowerPoint and Outlook
  • The ability to establish and maintain excellent working relationships at all levels within the organisation
  • Able to maintain discretion and strict confidentiality at all times
  • Proven written and verbal communications skills with excellent attention to detail
  • Able to prioritise work to strict deadlines
  • An understanding of the sensitive and political nature of the work
